Pralo Media (Pty) Ltd (“Pralo Media”, “we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, store, and protect your personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA). It applies to our website and to the services we provide, including website design, graphic design, printing, photography, and video production.

Depending on how you interact with us, we may collect:

Photographs and video footage of you, your staff, your guests, or your property, captured during a shoot or event

Payment records, such as proof of payment and invoice history. We do not store your full card details.
We do not knowingly collect special personal information, such as health or religious information, unless you volunteer it and it is needed for the service.
3. How we collect it
We collect information directly from you through our contact and quote forms, email, WhatsApp, phone calls, meetings, and bookings. We also collect it automatically through cookies and analytics tools when you visit our website, and through the photography and video work we do for you.

We process your information only for lawful purposes connected to our business, namely:

Anyone who handles your information on our behalf must keep it confidential and secure and may use it only for the purpose we engage them for.
6. Photographs, video, and portfolio use
Images and footage that identify people are personal information. Unless we agree otherwise in writing:

We will use footage and images from your project to deliver the service you paid for.

We may display completed work in our portfolio, on our website, and on our social media pages.

You may ask us not to use identifiable images of you or your business for promotion. Please tell us before the shoot, or contact us afterwards and we will remove the content from our own channels within a reasonable time.
Where you are the client and people other than you appear in a shoot, you are responsible for making sure they are aware of the filming or photography.
7. Cookies and analytics
Our website may use cookies and similar technologies to make the site work, remember your preferences, and understand how visitors use it. These may include analytics tools such as Google Analytics. You can accept or decline non-essential cookies through our cookie banner, and you can change your browser settings to block or delete cookies. Blocking some cookies may affect how the site works.
8. Transfers outside South Africa
Some of our service providers, such as cloud hosting and email platforms, store data on servers outside South Africa. Where this happens, we take reasonable steps to make sure your information receives protection comparable to that required by POPIA.
9. How long we keep your information
We keep personal information only as long as needed for the purpose it was collected, or as the law requires. As a guide:

Enquiries that do not lead to a project: up to 12 months

Client and project records: for the duration of the relationship and up to 5 years afterwards for legal and tax purposes

Financial and invoicing records: at least 5 years

Portfolio content: until you ask us to remove it or we choose to retire it
When information is no longer needed, we delete or de-identify it securely.
10. How we protect your information
We take reasonable technical and organisational steps to protect your information against loss, damage, unauthorised access, and misuse. These include password protection, access controls, secure cloud storage, and limiting access to those who need it. No system is completely secure, so if we become aware of a breach affecting your information, we will notify you and the Information Regulator as POPIA requires.
11. Your rights
Under POPIA you have the right to:

Ask us to delete or destroy information we are no longer entitled to keep

Withdraw consent at any time, without affecting processing that already took place

To exercise any of these rights, email info@pralomedia.co.za with your name and details of your request. We may need to verify your identity first, and we will respond within a reasonable time.
12. Direct marketing
We will only send you marketing messages if you have opted in or are an existing client and the law permits it. Every marketing message will include a simple way to opt out.
13. Children
Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 18 without the consent of a parent or guardian. If you believe a child has given us their information, please contact us and we will delete it.
14. Third-party links
Our website may link to other websites, such as social media pages or client sites. We are not responsible for their privacy practices, and we encourage you to read their policies.
15. Changes to this policy
We may update this policy from time to time. The latest version will always be on our website with the “last updated” date at the top. Continued use of our website or services after an update means you accept the revised policy.
